Terms of Service
Service Description
xPensi ("the Service") is an expense report and reimbursement platform designed for freelancers and small teams. The Service enables users to capture expenses, attach receipt images, submit expense reports for approval, and process reimbursements. By accessing or using xPensi, you agree to be bound by these Terms of Service. If you do not agree, please do not use the Service.
The Service includes features such as mobile expense entry, receipt scanning via OCR, approval workflows, multi-currency support, team dashboards, and integrations with accounting tools. xPensi is provided as a cloud-hosted software-as-a-service (SaaS) platform accessible via web and mobile applications.
User Responsibilities
You agree to provide accurate and complete information when creating your account and submitting expense reports. You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account.
When using the Service, you agree to:
- Submit only legitimate business expenses with accurate descriptions and amounts
- Provide authentic receipt images and supporting documentation
- Not use the Service for fraudulent, unlawful, or deceptive purposes
- Not attempt to circumvent approval workflows or manipulate expense data
- Comply with your organization's expense policies when submitting reports
- Not interfere with or disrupt the Service or its infrastructure
Administrators and approvers are responsible for reviewing submitted expenses in accordance with their organization's policies. xPensi does not verify the legitimacy of individual expense claims.
Billing
xPensi offers subscription plans billed on a per-user, per-month basis. Pricing starts at $3/user/month for the Starter plan and $5/user/month for the Team plan. Enterprise pricing is available upon request.
Subscriptions are billed in advance on a monthly or annual cycle. You authorize xPensi to charge your designated payment method for all applicable fees. If payment fails, we may suspend access to the Service until the outstanding balance is resolved.
You may upgrade, downgrade, or cancel your subscription at any time. Cancellations take effect at the end of the current billing period. Refunds are not provided for partial billing periods unless required by applicable law.
We reserve the right to modify pricing with 30 days' written notice. Continued use of the Service after a price change constitutes acceptance of the new pricing.
Data Ownership
You retain full ownership of all data you submit to the Service, including expense reports, receipt images, notes, and any other content you upload. xPensi does not claim ownership of your data.
We use your data solely to provide and improve the Service. We will not sell your data to third parties. For details on how we collect, store, and process your information, please refer to our Privacy Policy.
Upon termination of your account, you may request an export of your data. We will retain your data for a reasonable period following termination to allow for export, after which it will be permanently deleted in accordance with our data retention policy.
Termination
Either party may terminate this agreement at any time. You may cancel your account through the account settings or by contacting support at support@xpensi.app.
We may suspend or terminate your access to the Service immediately if you violate these Terms, engage in fraudulent activity, fail to pay applicable fees, or if continued use poses a risk to the Service or other users.
Upon termination, your right to access the Service ceases immediately. Data export is available for 30 days following termination. After this period, your data will be permanently deleted.
These Terms are governed by applicable law. The Service is provided "as is" without warranties of any kind, express or implied. xPensi's total liability under these Terms shall not exceed the fees paid by you in the 12 months preceding the claim.
